How to add additional fields to the Easypromos entry form
Easypromos users enter a promotion by filling in the entry form. This entry form can be edited by the administrator via the promotion administration panel. The administrator can ask the user for the following:
- Name
- Country
- Year of birth
- Sex
- Telephone number
In the Premium and White Label versions the following fields are also available:
- City
- Configurable dropdown list
- Configurable ‘opt-in’ box
Many administrators tell us they would like to be able to add new fields, principally to enable them to gather more information from each user, such as their postal address, ID number, county/state, t-shirt size and so on.
We have also been asked if it would be possible to require users to fill in a questionnaire in order to qualify for entry to the promotion.
For this reason, in the Premium and White Label versions of Easypromos it is possible to add as many customizable extra fields as you wish. It is currently possible to add customizable text-based fields as well as dropdown lists with a select option.
Administering customizable extra fields
Extra fields can be configured through the administration panel in the promotion editing form. After these fields have been added they can be edited or deleted in the same editing form. New fields can also be added.
For the text-based fields the administrator will be asked to supply the name of the field. This name will appear as the title of the field in the users entry form.
For the dropdown lists the administrator will be asked for two fields:
- Title of dropdown list: this is the text that will appear as the title of the dropdown list in the user’s entry form.
- Options for dropdown list: these are the options that will appear in the drop down list. The first option in the dropdown list will be the empty field, but it will be obligatory for the user to choose an option from the list. The options can be inserted one to a line or separated by a comma.

As we have already mentioned, certain predefined fields can be selected from the administration panel. These include ‘email’, ‘country’, ‘telephone’ and ‘sex’. ‘Name’ cannot be selected as it is an obligatory field and, in the Premium and White Label versions, comes pre-filled with the Facebook user’s name. Other fields which can also be pre-filled are: country, sex and year of birth. The extra customizable fields work in the same way as the email field: they never come automatically pre-filled with Facebook information about the user.
All the extra fields in the entry form must be filled in. If they are not filled in, the user won’t be able to finish registering and he/she will see an error message.

The information that is collected works in the same way as with the email field. Thus, they are private fields that only the administrator has access to, by way of the administration panel. This means that if the administrator checks the “post entries” box, the information from the extra fields will not appear on the public entries page.
The administrator will have access to the information from the list of registered users and he/she will also be able to export them to a CSV file.
FAQ regarding customizable extra fields
What types of extra fields can I add?
You can add two types of extra fields:
- Text-based fields: the administrator can customize the title of the extra field.
- Dropdown lists: the administrator can create a dropdown list configuring both the title and options.
If I add an extra field will this be obligatory for the user?
Yes, currently with Easypromos all fields in the entry form are obligatory, so users must fill in all of them in order to be able to register for the promotion.
If I create a photo contest, will the extra fields be visible to the public on the voting page?
No, the customizable extra fields are private, so only promotion administrators have access to information from the extra fields of each user.
The only public fields in Easypromos that can be used for competing in a competition are:
- Comments: for text-based competitions, text and video competitions, or photo and video competitions
- Image: for photo competitions
- Video: for video competitions
How many extra fields can be added to the form?
You can add as many extra fields as you like with Easypromos, but as you can read in our recommendations for creating an effective promotion, we would suggest keeping the information required of users to a minimum.
Can I add another type of extra field?
