How to Customize Your Giveaway Entry Form

Sílvia Martí
Most Easypromos promotions can include a registration form to identify participants and collect the information you need for the campaign. Depending on your objective, this might include contact details, preferences, demographic information, or consent to receive future communications.

The key is to request only the information you actually need. The longer or more intrusive the form feels, the greater the participation barrier. Participants are more likely to complete a promotion when the amount of information requested feels reasonable in relation to the prize and the experience.

Easypromos lets you combine predefined and custom fields, adapt the form design to your brand, and even display certain fields conditionally so participants only see additional questions when they are relevant.

Configuring a Giveaway Entry Form

You can configure the registration form from the Easypromos administration panel and choose which information participants need to provide.

Predefined Fields

Predefined fields are designed to collect basic participant information. Depending on your promotion, you can include:

  • First name and last name. These fields are enabled by default, although they can be hidden when appropriate, for example in promotions with their own user identification system.
  • Nickname. Useful when a public ranking is enabled and you prefer to display a participant’s nickname instead of their real name.
  • Email. Collect the participant’s email address and, when needed, apply additional verification or access controls. Learn more about the Easypromos fraud-control system.
  • Date of birth. Request the participant’s date of birth, apply a minimum age, or use their age to display other fields conditionally. You can also restrict a promotion by age.
  • Phone number. Request a contact number and, when needed, add SMS verification.

The form can also display information related to the organizer and the promotion, as well as the required acceptance of the Terms and Conditions.

The information submitted through the registration form is private and accessible only to the promotion administrator.

Customizable Additional Fields

Additional fields let you collect information that is not covered by the predefined fields. For example, you might request a state or province, T-shirt size, customer preference, or other information relevant to the campaign.

These fields can generally be configured as required or optional and arranged within the form.

You can also use them to ask questions and collect additional information from participants. If the main objective is to conduct more extensive research, however, consider combining the registration process with a quiz or survey.

Available field types include:

  • Country. Displays a list of countries. Once added, this field is required.
  • Additional text field. Lets participants enter an open-ended response. You can define the permitted length and apply validation rules when needed.
  • Dropdown list. Participants select one option from a list. This is useful when there are many possible answers and you want to keep the form compact.
  • Radio buttons. Displays all available options at once so participants can select one.
  • Autocomplete list. Participants begin typing and the form suggests matching responses.
  • Multi-select field. Allows participants to choose more than one option from a list.

Show Additional Fields Only When They Are Relevant

Not every participant needs to see every field. With conditional fields, you can adapt the registration form according to information the participant has already provided and request additional data only when it is relevant.

Conditions can be triggered by:

  • Date of birth, based on the participant’s age
  • Dropdown lists, based on the selected option
  • Radio buttons, based on the selected option

For example, you could display fields requesting a legal guardian’s details only when the participant is underage, or show an additional text field when someone selects “Other” from a list of options.

This keeps the registration form shorter and more relevant for each participant while still allowing you to collect the information required for specific cases.

Conditional fields apply exclusively to the registration form. Learn how to configure conditional fields.

Private Fields

You can also add fields designed to collect information that is available only to the promotion organizer.

  • Opt-in field. Add a checkbox to request a participant’s consent or acceptance, for example to subscribe to marketing communications.
  • Date field. Request an additional date related to the participant or promotion.
  • Document field. Allow participants to upload a document, image, or other supported file.
  • Hidden field. Assign a fixed value that can be used to identify or categorize registrations.
  • Identity document. Request an identification document number and validate supported document formats.
  • Signature field. Allow participants to sign the registration form. The signature is stored with their participation data.

Customize the Registration Form to Match Your Brand

The registration form is part of the overall promotion experience, so its design should be consistent with the rest of your campaign.

In addition to the general design settings, you can:

  • Choose how form fields are displayed
  • Add help text to provide context or instructions
  • Organize additional fields in the order that makes the most sense for participants
  • Use conditional fields to keep the form focused on information relevant to each user

Save registration forms as templates and reuse them across promotions. This feature is available with Corporate plans and is particularly useful for organizations managing multiple campaigns or teams.

Access the Data Collected Through Your Registration Form

The information collected through the giveaway or promotion registration form is available in the Users section of the administration panel.

You can review participant data and export it for further analysis or use with other tools. Depending on your workflow, you can:

  • Transfer data through the Easypromos API or webhooks
  • Export the data in Excel or CSV format
  • Connect Easypromos with supported marketing integrations

This makes it easier to incorporate promotion data into your CRM, email marketing platform, analytics workflow, or other systems.
